Claim process

How Hillis Moves Your Claim Forward

A clear, eight-step process from the first inspection through negotiation and final claim payments.

What happens next

Eight stages of a property claim

From the first inspection to final documentation, your Hillis contact helps you understand what is needed. The steps and timing depend on your loss and policy.

Find your next step
01Initial inspection

A Hillis adjuster meets with you to inspect and photograph the damage, review your policy, and discuss the information needed to prepare an estimate.

We explain our services, written agreement, and fees, and answer your questions before you decide to proceed.

02Emergency mitigation

When emergency work is needed, your adjuster can discuss appropriate services. Put safety first, keep receipts, and document conditions before work begins when it is safe to do so.

  • Water removal and drying
  • Board-up of damaged windows and doors
  • Emergency plumbing repairs
  • Temporary roof and siding protection
  • Temporary accommodation if you cannot remain at home
  • Cleaning of affected clothing and textiles
03Notify the insurance company

Hillis notifies the insurer of our representation and coordinates the claim reporting process with you. If a claim is already open, we request the existing records and next steps.

Forward claim correspondence to your Hillis contact promptly. Your adjuster can help you respond to requests and understand policy requirements and deadlines. Inspection timing varies by insurer and circumstances.

04Joint property inspection

Your Hillis adjuster meets the insurance company's adjuster at the property to present the documented damage and discuss the proposed repairs.

We request the insurer's estimate for review and identify any further information needed.

05Review the estimate

We compare the insurer's estimate with the documented damage and repair requirements, identify differences, and discuss any available payments with the insurer.

Your Hillis contact keeps you informed about the review and explains the next steps before you make decisions about repairs or settlement documents.

06Negotiate supported differences

Hillis presents supporting information for damage or costs that may have been missed or undervalued. Depending on the claim, this can involve:

  • Requesting a revised estimate
  • Reinspecting the property
  • Providing additional photographs, measurements, estimates, or cost documentation
07Request outstanding payments

Hillis follows up on payments owed under the claim and helps you understand any remaining documentation or conditions. Payment timing and requirements depend on the policy and the claim.

08Request recoverable depreciation

An insurer may initially deduct depreciation from a payment. Where the policy allows recovery of that depreciation, additional payment may depend on completed repairs, evidence of costs, and applicable deadlines.

Send Hillis the relevant invoices, estimates, and receipts. We organize the records and submit a supported request for any recoverable depreciation available under your policy.
